Taleo Recruiting Software is built to help businesses source, assess, hire, and take on the best talent. It has three different editions that are customized to meet the needs of different sized organizations based on number of employees. The “Business” edition covers organizations of up to 5,000 employees, the “Enterprise” edition works best for companies of 5,000 to 13,000 employees, and the “Large Enterprise” edition is geared towards corporations with over 13,000 employees. (For the purposes of this review, we will be covering the middle-range “Enterprise” software package.) With features available for “social job sharing” through popular social networks like Facebook and LinkedIn, its cloud computing technology and mobile access integration, Taleo is focused on staying up-to-date in today’s ever-changing job market. The systems also come with powerful analytics tools that are valuable for any organization, helping to monitor and track data throughout the hiring process.

Who Should Use this Product

Any company can use this product, from small private businesses to international corporations in the public sector. The software itself will be most widely-used in the human resources department of a company, especially by recruiters and hiring managers who are making key decisions regarding the growth and expansion of their organization.

Applicant Tracking Features

Taleo has many tools available in their Applicant Tracking module that can help to organize the process of applying for jobs and receiving the applications and documents. Recruiters can track the current progress of an applicant and view which documents have been submitted and if there are any missing parts to the application, they can compare candidates with just a few clicks, and view and filter their search results to screen for the best-fit candidates for a specific position. These filters can be segmented according to number of openings, internal and external applicants, education, and other credentials essential to top job performance. This feature also has automatic time and date stamps, so when new documents come in or are reviewed by a manager in human resources, they will be marked as viewed and logged in the system to help organize the flow of incoming information.

Reporting Features

The Taleo Reporting and Analytics module provides up to 20 standard reports and has many other report-creating tools that are pretty flexible in terms of customization, and allow hiring managers and recruiters to efficiently monitor and organize their recruiting campaigns. Through this module, they can source prospective clients, ensure the company is following government compliance laws, and produce reports and metrics based on their incoming data and recruitment processes. These reports also have user security levels, so hiring managers can assign certain tasks to other human resources employees without having to worry about breaching security or revealing too much information about a candidate to the wrong person. The job-matching module analyzes that data to determine how well a candidate would fit a particular job based on parameters set by the employer, and can create reports to compare and rate several candidates.

Job Postings Features

Taleo’s “Sourcing” strategy gives hiring managers access to talent all around the world with social networking, niche job boards, Internet search tools, and comprehensive sourcing analytics. There are some unique features that Taleo has set up for posting open positions and jobs that companies are recruiting for. The “Social Job Sharing” module allows hiring managers, employees and candidates to share information about jobs across many social platforms like Facebook and LinkedIn. As more and more job seekers turn to social media for their job hunt, this module can help recruiters expand their search and reach out to more prospective employees.
Another feature Taleo software gives access to is their “Multiple Hire Types” module which is the only platform that provides the self-service career site, work flow and talent pooling technologies to effectively handle any type of unique recruiting processes from a single platform. Those interested in working for a company using Taleo software can view jobs categorized as, for example, “Professional”, “Hourly”, or “Internships/Co-Op” and can further categorize them into salaried positions, jobs specifically for alumni or current employees, or even contingent labor.

Interview and Offer Features

Taleo’s “Interview  Management” and “Offer Management” features allow for easy coordination between search committees and interviewees. In the early stages of recruitment and in the interview phase, it is important that information be easily accessible and organized. With integration in Microsoft Outlook, candidate self-servicing and a schedule creating center, recruiters can easily coordinate individual or group interviews, seasonal hiring events, job fairs, campus interviews, and other hiring events. This will be a big help in expediting the hiring process so hiring managers won’t have to worry about leaving a top candidate waiting.
The “Offer Management” enhances the process of creating, extending, approving, comparing, and tracking offers and it makes it a less stressful process.

Compliance Features

Compliance is one of the most important parts of any successful business, and it flows into almost every department, and especially into human resources. The Taleo “Compliance Management” feature of the software helps to create consistent, scalable and fully legal recruiting processes that can help reduce risk and exposure to lawsuits and fines, protect important government contracts and reduce administrative costs. There are standard reports for EEO and Affirmative Action, and there is an attachment feature for storing backlogs and history of reporting.

Other ATS Features

Taleo has a few other features that are important to hiring managers and can make their jobs much easier. The “Screening and Assessment” tool helps to improve the quality of the prospective employees and new hires by giving the recruiter the ability to screen candidates using a unique multi-tiered precision matching function. With a library of screening questions, behavioral and skills assessment content, and background checking, the HR department can make sure that they are bringing in top-notch talent for interviews.
The “Candidate Experience” module includes unlimited, tailored career sites for both internal and external candidates, providing a consumer-like experience with job carts and search agents available throughout the recruiting process.
